Insurance

Why don't you take insurance?

When working with insurance, they get to decide which diagnoses are covered and not, how many visits you can receive, and potentially extended wait times for approval. At Talking Jay Speech Therapy, we prioritize working on your concerns for you or your child, and create individualized care plans focusing on what matters to you and your family most.

If your insurance covers speech therapy and you would like to submit for out-of-network visits, we can provide you with a Superbill to submit for reimbursement. We create superbills monthly, and you can ask for one any time.

What's a superbill?

A superbill is a detailed receipt your insurance company can use for an out-of-network claim. Here's what's on it:

  • Client information. Name and date of birth of the person who received therapy.
  • Provider information. Clinician name, credentials, license number and National Provider Identifier (NPI).
  • Practice information. Business name, tax ID and contact details.
  • Dates of service. The date of each evaluation or session.
  • Procedure codes (CPT). Codes that describe the service, such as an evaluation or a treatment session.
  • Diagnosis codes (ICD-10). Codes that describe the reason for therapy, based on the evaluation.
  • Fees and payments. What was charged and what you paid.

How to use your superbill

  1. Download your superbill from the client portal.
  2. Get your insurer's out-of-network claim form, usually on their member website.
  3. Send in the form and superbill the way your insurer asks.
  4. Your insurer decides what to pay back and pays you directly.

We create superbills monthly and can provide one any time you ask. We cannot guarantee reimbursement for services.

HSA and FSA

Can I use my HSA or FSA card?

Yes. You can pay with an HSA or FSA card in the client portal. Speech therapy for a speech, language, voice, stuttering or feeding problem is usually an eligible expense. Professional communication usually is not, because it doesn't treat a medical condition. If you're not sure, ask your plan. The IRS lists what counts in Publication 502.

Cancellation policy

What is your cancellation policy?

Communication is key with virtual speech therapy. If something comes up that causes you to be unable to attend your session, please let us know right away and we can support you with rescheduling when you are able to attend. Your appointment time is reserved only for you, so when a session is cancelled late or missed, that time cannot be offered to another family. This policy applies to every client, every time.

Cancellation and no-show fees
What happens Therapy session ($75) Evaluation ($175)
You cancel at least 24 hours before your appointmentNo chargeNo charge
You cancel with less than 24 hours' notice$50 fee$100 fee
You cancel late, then reschedule within 7 days and attendFee waivedFee waived
No-show (you don't join and didn't reach out to cancel)$75 (full fee)$175 (full fee)
  • Notice required

You must cancel at least 24 hours before your appointment start time. Cancel by sending a message through the SimplePractice client portal or by emailing [email protected].

  • Illness and emergencies

We understand that kids get sick, and we would rather work with you to reschedule your appointment than push through a potentially less productive session together. Please reach out to us as soon as you can if the client is sick. If you cancel with less than 24 hours' notice because of illness, there is no fee as long as you reschedule within 7 days and the new appointment happens.

  • Arriving late

It is important to be on time to your session so that you are able to receive the full time we have scheduled together. Sessions end at the scheduled time, no matter when you join, and the full fee applies. If you have not joined within 10 minutes of the start time, the session will be cancelled and counted as a no-show.

  • Internet or video problems

If there is a technical issue on our end, there is no charge for the session and you will be offered a new time. If the problem is on your end, we can troubleshoot together or use a backup option. If the session cannot happen, we will work together to reschedule.

  • Payment

A valid card must be on file to book any appointment. Late cancellation and no-show fees are charged to that card automatically on the day of the missed appointment. If a charge is declined, future sessions are paused until the balance is paid and the card on file is updated. Fees for missed appointments are not for a service, so they do not appear on superbills.

  • Attendance

Attending your scheduled sessions is one of the most important factors for making progress in therapy, and we are unable to hold spots on the schedule when clients are regularly not attending. After 2 late cancellations or no-shows, you lose your recurring time slot and sessions are booked one at a time. After 3 no-shows, we have the right to end services, and you will receive a discharge summary and referrals to other providers.

If we cancel, you are never charged. You will be contacted as soon as possible and offered a new time. By booking an appointment with Talking Jay, you agree to this policy.

Other options

How this compares with other options

There's more than one way to get speech therapy, and what you pay depends a lot on where you go.

You don't have to pick one. You can get speech therapy at school and see a private speech therapist, too.

What's a Good Faith Estimate?

Federal law says that if you're not using insurance, you have the right to a written estimate of what your care will cost before you get it. Since we don't bill insurance, that's most of our clients. You'll get yours in the client portal when you book.

Do you take insurance?

Talking Jay is private pay only and does not accept insurance at this time. If you would like to seek out-of-network reimbursement, we can provide a superbill for you to submit to your insurance plan. We cannot guarantee reimbursement.

What is a superbill?

A superbill is a detailed receipt with the codes your insurance company needs to consider reimbursing you for out-of-network speech therapy. You submit it to your plan yourself. Many plans with out-of-network benefits pay back part of the cost. We cannot promise what your plan will cover, so call them first and ask about your out-of-network speech therapy benefits. We create superbills monthly, and you can ask for one any time.

Can I use my HSA or FSA?

Speech therapy is usually an eligible expense for HSA and FSA accounts. Check with your plan administrator to be sure. You can pay with your HSA or FSA card like any other card.

What is your cancellation policy?

Our cancellation policy protects your time and our therapist's time, and helps keep therapy moving forward. Please give as much notice as you can when you need to cancel or reschedule, so we can offer your time to another client. Cancelling 24 hours or more before your session or evaluation is free. If you cancel with less than 24 hours' notice, the fee is $50 for a session or $100 for an evaluation, and we can waive it if you reschedule within 7 days and attend. A no-show, with no notice and no log in, is charged the full fee: $75 for a session or $175 for an evaluation. After 2 late cancellations or no-shows, your regular weekly time is released. After 3 no-shows, we have the right to end services. You can cancel by messaging us in the client portal or emailing [email protected]. Full cancellation policy
